Boost Your OneDrive Space Efficiency

1️⃣ Enable Files On‑Demand+

Files On‑Demand shows all your files in File Explorer while keeping them online‑only until you open them. Right‑click the OneDrive icon → Settings → Settings tab → check “Save space and download files as you use them.”

2️⃣ Organize with Folders & Tags+

Create logical folder structures and use the “Details pane” to add tags. Tags let you filter and locate files without duplicating them across folders.

3️⃣ Use Shared Libraries Wisely+

Shared libraries (Teams, SharePoint) count against the owner’s quota, not the contributor’s. Store large collaborative assets there to free personal space.

4️⃣ Turn on Version History+

Version history lets you revert changes without keeping multiple copies. Enable it per folder: Settings → Version history → “Keep the following number of versions.”

5️⃣ Compress Before Upload+

ZIP or RAR large collections (photos, videos) before uploading. OneDrive will still show the compressed file, saving space and upload time.

6️⃣ Automate Clean‑up with Power Automate+

Create a flow that moves files older than 90 days to an archive folder, or deletes duplicate files. This keeps your root folder tidy.

7️⃣ Monitor Usage Dashboard+

Visit OneDrive → Settings → Storage → “View storage usage” to spot large files and folders. Delete or archive them regularly.
